Staff workbench overview

The 1PVN staff workbench is your home base for managing investment submissions, pipeline opportunities, consultation events, and partner relationships. After you sign in, a left sidebar gives you access to four sections: Overview, Manage, Track, and Admin (admin role only). This guide explains each section and shows how the intake-to-pipeline workflow connects everything.

Purpose: Orient staff and admin users on workbench structure, navigation, and how the core business workflow flows from submission to investment facilitation.

Audience: Staff, Reviewer, Lead, and Admin users.

Prerequisites: You have a staff-level or higher account at your 1PVN chamber (for example, eccp.1pvn.com or gepp.1pvn.com).


Overview

The workbench is a web application organized around a left sidebar with four named sections:

The workbench is multi-tenant. Your session is scoped to one chamber (tenant) at a time. To access a different chamber, sign out and sign in again from that chamber's subdomain.


Signing in to your chamber

Step 1: Go to your chamber's login page

Open your browser to your chamber's subdomain. For example:

  • ECCP: https://eccp.1pvn.com/login
  • GeoPP: https://gepp.1pvn.com/login

Expected result: A login page appears with your chamber's logo and two sign-in options.

Step 2: Choose your sign-in method

Option A — Sign in with Google (recommended)

  1. Click Sign in with Google.
  2. Select your Google account. If prompted, approve the permissions screen.
  3. You are redirected to the dashboard.

Option B — Sign in with email and password

  1. Click Sign in with email (the toggle below the Google button).
  2. Enter your email address and password.
  3. Click Sign In.
  4. You are redirected to the dashboard.

Step 3: Verify your role

After sign-in, the system checks your role:

  • Staff or higher — Redirected to /dashboard. You can access all authenticated areas matching your role.
  • Public user (not yet activated) — Redirected to /auth/pending with the message: "Account pending activation." Ask an admin to promote your role in /admin/users.
  • Not signed in — Redirected back to /login.

Expected result: If your role is staff or higher, the sidebar appears and the dashboard loads.


The workbench areas

Overview section

Dashboard (/dashboard)

The first page you see after signing in. Shows real-time KPIs, trend charts, and quick links to items that need attention.

What you will see:

  • KPI cards (conversion rate, match approval rate, pipeline value, average approval time)
  • 90-day trend charts (submissions, pipeline, matches)
  • Stage velocity table and form scoring table
  • Cluster and document-type breakdowns

When to use it: Start your workday here. Review what is stalled or overdue before diving into a specific area.


Manage section

The Manage section contains the core business workflow. Each area follows a list → detail → edit pattern.

Project Intake (/submissions)

View and manage all investment submissions received from the public portal.

What you will do:

  • Review submission title, organization, contact, and tracking code
  • Check submission status (draft, submitted, intake_review, accepted, returned, withdrawn)
  • Open the detail view to edit fields, add notes, and advance to intake_review
  • Create a new submission manually on behalf of a submitter

When to use it: Triage new investment submissions, categorize by cluster, and decide whether to accept or return each one.

Organizations (/stakeholders)

Manage partner organizations — chambers, development partners, investors, government bodies, academic institutions, and others.

What you will do:

  • Search, filter, and sort organizations by name, type, cluster, or country
  • Open the detail view to see linked contacts, engagement history, investor profile, and pipeline opportunities
  • Create a new organization, or bulk-import via CSV
  • Edit investor profile (sectors of interest, investment types, target clusters, min/max investment USD, target geographies)
  • Link organizations to Philippine geographic regions

When to use it: Maintain the partner network, keep investment criteria current, and link organizations to opportunities for matching.

Contacts (/contacts)

Manage individual people linked to organizations.

What you will do:

  • Search contacts by name, email, phone, role, or organization
  • Create a new contact and optionally link it to an organization
  • Update title, role, email, and phone
  • Track lead status (new → contacted → qualified → unqualified → converted)
  • Log engagement history (meetings, calls, emails) via the activity timeline

When to use it: Build and maintain a CRM database of investors, LGU officials, and program partners.

Pipeline (/pipeline)

Manage investment opportunities from intake through facilitation and closure.

What you will do:

  • View opportunities in list or Kanban board view (stages: submitted → intake_review → screening → development → matchmaking → facilitation → closed or on_hold)
  • Create a new opportunity (title, sector, cluster, investment value, target location)
  • Fill out staged information sections (investment type, timeline, technology, deployment, partnership, market entry, risk, alignment)
  • Advance an opportunity to the next stage (gate checks enforce required sections before advancing)
  • Link opportunities to organizations and consultation events

When to use it: Manage the investment pipeline, track bottlenecks by stage, and advance deals toward facilitation.

Meetings (/consultations)

Manage all consultation events — workshops, bilateral meetings, webinars, field visits, roundtables, training, and others.

What you will do:

  • Create a consultation with title, type, cluster, venue, date/time, and virtual meeting URL
  • Add attendees (by email or manual entry, auto-linked to contacts)
  • Set RSVP status (registered, confirmed, attended, cancelled, waitlisted, no_show)
  • Build the event agenda (day labels, time slots, presenters, descriptions)
  • Send batch RSVP invites (email with iCal attachment, QR code, agenda link)
  • Record meeting notes, action items, and decisions
  • Check in attendees at the event (marks attended, triggers post-event emails)
  • Configure which automated emails send (7-day, 1-day, 1-hour reminders; thank-you; follow-up)

When to use it: Organize facilitation events, run email automation for invitations and reminders, and track attendance.

Investor Matching (/matching)

Match investor profiles to investment opportunities using configurable scoring.

What you will do:

  • Select an opportunity and click Generate Matches to score all investor profiles
  • View match list with scores
  • Approve a suggested match, reject it with a reason, or transition it through the status flow (suggested → approved → introduced → in_progress → successful or rejected)
  • Schedule a B2B meeting between the investor and the opportunity owner

When to use it: Connect investors to suitable opportunities and track B2B meeting outcomes.

Documents (/documents)

Create, version, approve, and e-sign policy outputs and official documents.

What you will do:

  • Create a document from a template or from scratch
  • Edit content (each edit creates a new immutable version)
  • Upload a PDF or Word file
  • Change status through the review workflow (draft → ai_draft → revision_needed → approved → locked or rejected)
  • Send the document for e-signature (PDF only, must not be locked)
  • Download the signed PDF after all signers complete
  • Restore a previous version or archive the document

When to use it: Generate policy notes, investment summaries, and official agreements. Lock documents after signing to create an immutable record.

Communications (/communications)

Manage outreach campaigns, audience segments, and the CRM activity ledger.

What you will do:

  • Create campaigns (email, social media, SMS, WhatsApp)
  • Choose an audience (saved segment or inline filter)
  • Compose a message and schedule or send immediately
  • View recipient delivery status (sent, delivered, opened, clicked, bounced)
  • Record campaign responses via public token links (RSVP, ratings, choices)
  • View the activity timeline — all CRM touchpoints logged for each contact

When to use it: Send outreach campaigns to investor contacts, track RSVP responses, and maintain an engagement history for compliance.


Track section

The Track section holds workflow items that run alongside the main pipeline.

Issues (/issues)

Generic issue tracker for bugs, recommendations, training needs, and closeout items.

What you will do:

  • Create an issue with type (policy_issue, recommendation, training_need, closeout_item), title, and priority (low/medium/high/critical)
  • Assign to a user and set a due date
  • Transition status through the allowed workflow for that issue type (for example, open → in_progress → under_review → resolved → closed)
  • Add comments; status changes automatically create a system comment

When to use it: Log project issues, training gaps, and closeout tasks that do not fit the pipeline workflow.

Forms (/forms)

View dynamic form definitions and their submissions.

What you will do:

  • Browse form definitions created by an admin
  • Open a form to see submissions (responses from public or staff)
  • Review responses and scores
  • Mark a submission as reviewed

When to use it: Collect and analyze structured feedback, survey responses, and application data.

Approvals (/approvals)

Track multi-step approval requests on documents, opportunities, organizations, and consultations.

What you will do:

  • Create an approval request on any supported entity (select an approval chain)
  • View the step-by-step workflow on the request detail page
  • Make an approval decision (Approve / Reject / Return / Reassign) on steps assigned to your role
  • Filter requests by status (pending, in_review, approved, rejected)

When to use it: Enforce governance gates such as document review before signature, or multi-step sign-off on high-value opportunities.

Signatures (/signatures)

Send documents for e-signature and track signing status.

What you will do:

  • Open the Signature Builder, select a PDF document, and add signers (name + email)
  • Place signature, initials, date, name, or text fields on PDF pages
  • Send to signers (distributes via Documenso, each signer receives a unique link)
  • View signer status (not signed / signed with timestamp)
  • Download the signed PDF after all signers complete

Note: Once all signers complete, the document is locked and immutable.

When to use it: Obtain legal signatures on MOUs, agreements, and official documents with a full audit trail.


Admin section

The Admin section is visible only to users with the admin role.

Users (/admin/users)

What you will do:

  • View all users at your chamber with their current roles
  • Change a user's role (public → lgu → staff → reviewer → lead → admin)
  • Archive a user (soft delete; the record is kept)

Role hierarchy: public (0) < lgu (1) < staff (2) < reviewer (3) < lead (4) < admin (5). Lower roles cannot access higher-role pages.

KPI (/admin/kpi)

View daily KPI snapshots and trend analysis. Snapshots are computed nightly by the compute-kpis workflow.

Audit (/admin/audit)

Immutable log of all system mutations. Paginated at 50 entries per page. Filter by entity type or user. Useful for investigating data changes or verifying compliance.

Feedback (/admin/feedback)

Intake and triage bugs, friction signals, performance issues, and feature requests. Link reports to change requests or incidents. Track resolution through the feedback state machine.

Features (/admin/features)

Govern feature delivery from request through release. Create feature requests, define tasks, and advance them through the staged delivery pipeline (requested → classified → brief_ready → task_packaged → sandbox/test/UAT/staging → approval_pending → canary → released).

Engineering Loop (/admin/ops)

Track production incidents and change requests. Transition incident status (open → acknowledged → mitigated → monitoring → resolved → closed). Link incidents to change requests for permanent fixes.

Email Templates (/admin/email-templates)

Manage transactional email templates (event confirmations, reminders, thank-yous, notifications). Toggle templates active/inactive, edit subject and block content, and view usage counts.

Email Log (/admin/emails)

View a history of all transactional emails sent by the system (confirmation, reminder, notification). See delivery status (sent, delivered, opened, clicked, bounced).

Templates (/admin/templates)

Create and manage document templates with variable field resolution ({{entity.field}} syntax). Upload an existing DOCX or PDF to extract text as the template skeleton.

Workflows (/admin/workflows)

Enable, disable, manually trigger, and tune the 15 Inngest serverless workflows. View the last 10 run logs per workflow. Adjust cron schedules per workflow.

GDPR (/admin/gdpr)

Manage data subject access (Article 15) and erasure (Article 17) requests. Initiate data export or anonymization for a contact. View the retention policy (90-day IP anonymization, 2-year audit purge, 1-year snapshot purge).

How the core loop connects

From submission to closed deal

  1. Public submits an opportunity via /submit (no login required).

    • System generates a tracking code (format: 1PVN-YYMM-XXXXXX).
    • A submissions record is created.
  2. Staff reviews in Project Intake (/submissions).

    • Changes status to intake_review.
    • Accepts (creates a pipeline opportunity) or returns the submission for more information.
  3. Opportunity enters the pipeline (/pipeline).

    • Starts at the submitted stage.
    • Staff fills out information sections (investment type, timeline, technology, deployment, partnership, market entry, risk, alignment).
    • Gate checks prevent stage advancement until required sections for the current stage are complete.
  4. Opportunity advances through stages (submitted → intake_review → screening → development → matchmaking → facilitation → closed or on_hold).

    • Each stage transition is logged to stage_history (append-only).
    • The pipeline-stall-check workflow alerts the assignee when an opportunity exceeds its SLA for a stage.
  5. Matching (/matching).

    • Staff selects the opportunity and clicks Generate Matches.
    • The algorithm scores all investor profiles (sectors, investment type, value range, clusters, geography).
    • Staff approves a match and schedules a B2B meeting in Meetings.
  6. Post-meeting: Staff advances the opportunity to facilitation or closed.

    • A policy output document (concept note, policy brief) may be created and linked to the opportunity.
    • Staff sends the document for e-signature.
    • On signing completion, the document locks automatically and the opportunity owner receives a notification to advance to closed.
  7. Throughout: Communications tracks all outreach to investor contacts, and the activity timeline logs every CRM touchpoint.

Field mode on mobile

Field Mode is the mobile-optimized capture area, accessible at /field on a phone or tablet. Use it to capture investor contacts and meeting notes in real time at events without needing a desktop.

Features

  • Voice input — A voice mic button appears on text fields. Recording uses the Mistral Voxtral API (EU-resident) for transcription.
  • File extraction — Upload a PDF or image; the platform extracts text and appends it to notes.
  • Offline queue — If you lose connectivity, captures are stored locally and sync on reconnect. Submit what you can, then complete details on desktop.

When to use Field Mode

  • You are attending an event and need to log investor contacts quickly.
  • You are conducting a field visit or site assessment.
  • You want to scan attendee QR codes for check-in at a consultation event.

Global search

Press ⌘K (Mac) or Ctrl+K (Windows/Linux) anywhere in the workbench to open the command palette. It provides three functions in one dialog:

  1. Navigation shortcuts — Jump to any main area (Dashboard, Pipeline, Consultations, etc.)
  2. Quick actions — Create a new organization, contact, opportunity, meeting, or issue without navigating to the list first
  3. Live search — Search across 8 entity types as you type (minimum 2 characters)

How to use

  1. Press ⌘K (or Ctrl+K).
  2. Type to search (2+ characters) — results appear grouped by entity type, up to 6 per type (24 total).
  3. Click a result to navigate to its detail page.
  4. Press Escape to close.

Limits

  • Minimum 2 characters — single-character queries return nothing.
  • Rate-limited at 60 searches per minute per user. Exceeding the limit returns an empty result silently.
  • Staff role required — public users cannot access the command palette.

Best practices

Workflow discipline

  • Create one submission or opportunity per deal. Use the detail view to enrich it over time rather than duplicating records.
  • Advance pipeline stages only when gate requirements are met. Do not skip gate checks.
  • Log all CRM interactions (meetings, calls, emails) in the activity timeline for compliance.

Data quality

  • Use consistent organization names. The CSV import finds or creates organizations by name; inconsistent names create duplicates.
  • Link opportunities to organizations. Unlinked opportunities do not appear in investor matching scoring.
  • Geo-tag organizations and opportunities so analytics can slice by region.

Governance

  • Assign admin roles carefully. The admin role has delete and override powers.
  • Enable approval chains for documents and high-value opportunities before they move to signature.
  • Review the Audit log regularly to spot data entry errors or unexpected changes.

Warnings

Multi-tenancy — You cannot switch chambers while logged in. To access a different chamber (if you have credentials there), sign out and sign back in from that chamber's subdomain.

E-signature is irreversible — Once all parties sign, the document locks and cannot be edited, sent again, or unlocked via the UI. Verify all content is approved before sending to signature.

Soft deletes only — Archiving an organization, opportunity, or document sets an is_archived flag. Records are hidden from lists by default but remain in the database. Hard deletion is not available through the UI.

Role hierarchy is strictly enforced — A lower role cannot access higher-role pages. Attempting to access /admin/* with a staff role returns a 403 error. Ask an admin to promote your role if needed.

AI-generated notes require approval — Minutes extracted by the AI pipeline appear with status pending. They are not part of the system of record until a reviewer approves them in the consultation notes tab.

FAQ

Q: Can I edit a submission after accepting it into the pipeline? A: Yes. Both the original submission record and the linked pipeline opportunity can be edited. All changes are logged to the audit trail.

Q: How do I bulk-import organizations? A: Use the CSV import on the Organizations list (/stakeholders). The workflow accepts common column names for organization name, contact email, phone, org type, country, and cluster. The import runs asynchronously in the background via the stakeholder-sync workflow.

Q: Can I schedule a campaign email for a future time? A: Yes. When creating a campaign at /communications/campaigns/new, enter a future scheduled date. The campaign status becomes scheduled and sends at that time.

Q: What happens when I archive an opportunity? A: The opportunity is hidden from the pipeline list (is_archived=true) and excluded from all aggregations including matching. It remains in the database and can be unarchived from the detail page.

Q: Can I revert an approved approval request? A: No. Once an approval request reaches approved status, it cannot be reverted. Approval decisions are immutable. Create a new approval request if re-review is needed.

Q: Who can permanently delete data? A: Nobody through the UI. The system uses soft deletes only (is_archived flag). Permanent erasure is handled through the GDPR workflow at /admin/gdpr, where an admin can initiate an anonymization request for a specific contact.

Q: Can I use the workbench from a mobile browser? A: Yes, but most areas are designed for desktop. Field Mode (/field/*) is specifically optimized for mobile capture workflows. Use a tablet or desktop for detailed editing of opportunities, documents, and consultation notes.

Q: How do I switch between chambers if I have access to more than one? A: Sign out, then go to app.1pvn.com. You will see a picker listing the chambers your email has access to. Click a chamber to sign in via the secure handoff flow.
