Responding to an event invite (RSVP)

Summary — When a chamber invites you to a consultation or event, you get an email with a title, date, and two buttons: Yes, I'll attend and Can't make it. Clicking either records your response immediately — no account or sign-in needed.

Purpose — Understand what the RSVP link does, what each response means, and what emails follow after you confirm.

Audience — Anyone invited to a 1PVN consultation or event: investors, LGU representatives, partner organizations, and other external attendees.

Prerequisites — An invite email from a 1PVN chamber with an RSVP link (or a link shared directly with you).


Overview

Key concepts:

  • RSVP link — A signed, one-time link unique to you and the event. It carries no login — the link itself proves who you are.
  • Yes / No response — The only two answers. There is no "maybe."
  • Confirmation email — Sent automatically once you answer "yes." Includes a calendar file and your check-in QR code.
  • Reminders — Automatic follow-up emails at 7 days, 1 day, and 1 hour before the event (the chamber can turn any of these off).
  • Check-in — A separate step at the event itself. See Checking in at an event.

Opening the invite

The invite email comes from the chamber that scheduled the event. It contains:

  • The consultation title, type, date/time, venue (or virtual meeting link), and an agenda link if one is available.
  • Two buttons that link to /respond/rsvp?token=...&a=yes or /respond/rsvp?token=...&a=no.

Clicking either button opens the Event RSVP page. If you clicked a button, your answer is submitted automatically the moment the page loads — you don't need to click anything else. If you open the RSVP page without a pre-filled answer, you'll see two buttons on the page itself:

  • Yes, I'll attend
  • Can't make it

Click the one that applies.


What happens after you respond

If you answer "yes"

The page shows: "You're confirmed!" followed by "Thanks {your name} — we've emailed your check-in QR code and a calendar invite for {event title}."

Within moments you receive a separate confirmation email containing:

  • The event details (title, type, date, venue or virtual link, and the indicative program/agenda if one has been published).
  • A .ics calendar attachment (invite.ics) you can add to Google Calendar, Outlook, or Apple Calendar.
  • Your personal check-in QR code, both shown inline and encoded into a link — see Checking in at an event for how to use it on the day.
  • A link to the public agenda page for the event (if an agenda is published).

You will then automatically receive reminder emails before the event (see below), and a thank-you/follow-up email afterward.

If you answer "no"

The page shows: "Response recorded" followed by "Thanks for letting us know you can't attend {event title}." No confirmation email, QR code, or reminders are sent — declining stops the rest of the sequence.

If you already responded

If you click an RSVP link again with the same answer you already gave, the page still shows the confirmation message, plus a note: "(Your response was already on file.)" No duplicate email is sent.

Once you've checked in at the event, RSVP links no longer change your status. If a stale "yes/no" link is clicked after you've already checked in, the system keeps your check-in as attended rather than reverting it.


Reminders and follow-ups

If you answered "yes," the chamber's automated schedule (which can be adjusted per event) may send:

The chamber controls which of these are enabled for a given event — you may not receive all of them. If you decline ("no") or the event is later cancelled, reminders you haven't received yet are not sent.


Troubleshooting

"This RSVP link is invalid or expired. Please contact the organizer."

Symptom: The RSVP page shows this message instead of your event details.

Cause: The link's token could not be verified — it may have been copied incorrectly, or an old link is no longer valid after the invite has been resent.

Fix: Go back to your original invite email and click the button again rather than retyping the URL. If it still fails, contact the chamber that invited you — they can resend the invite.

"Missing RSVP token."

Symptom: The RSVP page shows this instead of the Yes/No buttons.

Cause: You opened /respond/rsvp without the token parameter from your invite email — for example, by bookmarking the page or typing the URL manually.

Fix: Use the link from your invite email directly, or ask the chamber to resend it.

I answered "yes" but never received the confirmation email

Symptom: The page confirmed your RSVP, but no email with the QR code and calendar file arrived.

Cause: Email delivery can be delayed, or your email address on file may be incorrect.

Fix: Check your spam folder first. If nothing arrives within a reasonable time, contact the chamber to confirm the email address they have for you and ask them to resend your confirmation.


FAQ

Do I need an account to RSVP? No. The RSVP link itself authenticates you for that specific event — no sign-in is required.

Can I change my answer after I've responded? Use the invite email's buttons again. Answering "yes" after previously answering "no" (or vice versa) updates your status, unless you have already checked in at the event, in which case check-in status is not reverted.

What if I don't respond at all? You simply won't receive the confirmation, reminders, or QR code. You can still check in at the event with your attendee ID if the chamber has one on file for you — ask the organizer.

Is "maybe" an option? No — only "Yes, I'll attend" and "Can't make it" are available.
