Checking in at an event

Summary — At the event venue, scan the QR code from your confirmation email (or enter your attendee ID) on the check-in page to mark your attendance.

Purpose — Understand how to open the check-in page, scan or enter your ID, and what the confirmation looks like.

Audience — Anyone attending a 1PVN consultation or event in person who has an attendee ID or QR code from their RSVP confirmation.

Prerequisites — You RSVP'd "yes" to the event and received a confirmation email with a check-in QR code. See Responding to an event invite if you haven't RSVP'd yet.


Overview

Key concepts:

  • Check-in page — A public page (/checkin) at your chamber's event. No account needed.
  • QR code — Personal to you, included in your RSVP confirmation email. Scanning it (with a phone camera or the in-page scanner) opens the check-in page with your attendee ID already filled in.
  • Attendee ID — The identifier encoded in your QR code. You can type it manually if you can't scan.
  • Idempotent — Checking in twice does not cause an error; the second attempt just shows "Already checked in."

Checking in

Path: /checkin on your chamber's 1PVN subdomain — the page title reads "Event Check-In" with the subtitle "Scan your QR code or enter your attendee ID."

You have two ways to check in:

Option 1 — Scan your QR code

  1. Tap Scan QR Code.
  2. Point your camera at the QR code from your confirmation email (either on your phone screen or a printed copy).
  3. Once recognized, check-in happens automatically — no extra tap needed.

If someone scans your QR code with their own phone's camera app instead of the in-page scanner, it opens the check-in page directly with your attendee ID pre-filled and checks you in automatically.

Option 2 — Enter your Attendee ID manually

  1. Type your Attendee ID into the text field (labeled "Enter attendee ID or scan QR code").
  2. Click Check In.

The Check In button stays disabled until you've entered something in the field.


What you'll see after checking in

On success, the page shows:

  • A checkmark icon.
  • "Welcome, {your name}!"
  • The event title.
  • "Checked in at {time}" in HH:MM format (Philippine local time).

If you had already checked in previously (for example, someone scanned your code twice), the page instead shows "Already checked in" above your name, along with your original check-in time — nothing is duplicated or reset.

A "Check In Another Attendee" button lets the same device be reused to check in the next person (useful for staff scanning attendees at a registration desk).


Troubleshooting

"Attendee not found. Please check your QR code or ID."

Symptom: You entered an ID or scanned a code and got this message instead of a welcome screen.

Cause: The attendee ID doesn't match any record for this event — often because the QR code is from a different event, or the ID was mistyped.

Fix: Double check you're using the QR code from the confirmation email for this event. If it still fails, ask event staff to check you in directly, or contact the chamber with your name and email.

"Check-in failed. Please try again."

Symptom: A generic error appears instead of the welcome screen.

Cause: A temporary issue submitting your check-in (for example, a network hiccup).

Fix: Click Try Again and retry. If it keeps failing, use the manual Attendee ID entry instead of scanning, or ask event staff for help.


FAQ

Do I need to RSVP before I can check in? You need an attendee ID on file for the event — this is normally created when you RSVP "yes" or when the chamber adds you as an attendee directly. If you never received a QR code, ask event staff whether they can check you in manually.

Can I check in more than once? Yes, safely — checking in again just shows "Already checked in" with your original time. It doesn't create duplicate records or change your original check-in time.

What if I lost my QR code email? Use the manual Attendee ID field if you remember it, or ask event staff at the venue — they can look you up and check you in directly.

Does checking in send me anything else? Yes — checking in triggers your thank-you email for the event (typically sent within a couple of hours), on top of anything already scheduled from your RSVP.
